Position Overview

Manage the front desk while performing general/specialized Office Services and Human Resources support functions. General clerical support to include typing, data entry, and filing, along with database administration. Responsible for day-to-day administrative tasks including providing relevant information to MicroVention associates when needed. Job duties:
  • Act as a subject-matter-expert (SME) for Envoy/Openpath office application.
  • Manage reception telephone system, including answering/forwarding calls, locating associates, taking messages, and maintaining front desk voicemail messages.
  • Act as a subject-matter-expert (SME) on MicroVention van-pool program, while assisting in the administration of the program (to include tracking, reporting and documentation).
  • Greet and direct all visitors and vendors.
  • Distribute and manage incoming and outgoing USPS mail, FedEx, UPS, and interoffice mail.
  • Coordinate purchasing and delivery of office supplies and business cards.
  • Maintain database and distribution of new hires/separations security access cards and parking permits.
  • Ordering of office supplies.
  • Provide administrative support to the Human Resources team, as requested.
  • Assist with company events and meetings.
  • Perform additional duties and responsibilities as assigned.
    1. High school diploma or equivalent.
    2. Must possess intermediate computer skills including MS Word, Excel, PowerPoint, Outlook, and working knowledge of Adobe Acrobat.
    3. Typically possesses two (2) or more years of administrative and/or office experience.
    4. Excellent written and verbal communication skills, including active listening skills.
    5. Excellent customer service, principles, and practices.
    6. Strong interpersonal skills.
    7. Strong organizational skills, ability to maintain a high level of accuracy in preparing and entering information.
    8. Ability to professionally interface with all levels of management, associates, and visitors.
    9. Possess great attention to detail, time management, and project management experience.
    10. Able to work with minimal supervision, multi-task in a fast-paced environment, take initiative, and handle confidential projects with discretion.
    Desired Qualifications
    1. Bachelor’s degree preferred.
    2. Knowledge of SAP (Ariba), Workday, Imron, Envoy, and Openpath.
    3. Experience managing large sets of data within excel (v-look up, pivot tables).
    4. Any vanpool/car-pool (Employee Transportation Coordinator) experience.
    5. Any system applications and products in data processing (SAP).
