Position Overview

Perform confidential executive administrative duties for the General Manager. May make contacts of a sensitive, complex, and confidential nature.
1. Provides administrative support to the General Manager
2. Processes expense reports, Ringi’s, check requests, invoices, and other financial documentation as directed
3. Maintains spreadsheets and databases to record and track department information (e.g. training records, Ringi’s, invoices, check requests, shipping records, etc.)
4. Provides general filing and record keeping support to department
5. Assembles information necessary for regulatory filings (photocopy, assemble, and scan, create labels, coordinates shipping, etc.)
6. Updates department documentation by filing, creating correspondence, etc.
7. Maintains a standardized inventory of stationery and supplies required for department
8. Greets visitors and coordinates catering services
9. With minimal supervision, accomplishes assignments involving coordination with associates in multiple departments or positions within the department
10. Plans and schedules meetings
11. Arranges travel and maintains calendars
12. Back-up Administrative Assistant
14. Comply with applicable Laws and Regulations, adhere to Quality Management System processes and requirements as well as demonstrate Ethics and Integrity in all matters and at all levels throughout the organization.
15. Perform additional duties and projects, as assigned.
  • At least 5 years of experience as an administrative assistant. Two years supporting executive or senior level management. Exceptional communication skills.Demonstated pro-active support. College degree in Administration.
