Position Overview

Generalist role that involves managing and supporting projects and team. Responsible for providing contract administration, general administrative support, and improving automation of business process to the department. Job duties:
  • Responsible for overseeing the day-to-day operations of the company’s global legal department.
  • Manage and support a full range of projects for the global legal team.
  • Develop new processes or procedures to streamline workflows or improve efficiency. Seek opportunities to improve the efficiency of the legal department through business process automations and manage all legal ops software.
  • Support the management of relationships with outside counsel, legal vendors and oversee the legal department’s budget.
  • Drive administration of the contract lifecycle and responsible for the intake and routing of contracts, and management of post-execution activities of contracts.
  • Generate various reports and metrics for managing the lifecycle of contracts, including renewals and terminations. Assist with process improvement based on these metrics.
  • Lead implementation and management of contract storage and organization in a contract life cycle management system.
  • Perform administrative duties including creating and preparing routing materials, proofreading, verifying, and editing material for accuracy and clarity, and keeping reference materials up to date.
  • Prepare letters, memos and other confidential correspondence and reports.
  • Provide litigation support (research, litigation binders, discovery, document management).
  • Assist with corporate governance, including maintaining and keeping up-to-date records for various entities.
  • Establish and maintain filing systems, work and file correspondence, records, and other documents.
  • Process and reconcile expense reports, check requests, invoices, and other financial documentation as directed.
  • Maintain spreadsheets and databases to record and track department information (e.g., training records, Ringi approval process, invoices, check requests, etc.).
  • Provide administrative support to Legal Affairs team on a day-to-day basis, schedule meetings, make travel arrangements, print/mail, and order supplies as requested.
  • Perform additional responsibilities as assigned.
    1. Bachelor’s degree.
    2. Five (5) to seven (7) years of legal assistant, contract management, or professional administrative office experience.
    3. Ability to work independently and multi-task at a fast pace; ability to be flexible and adapt to a rapidly changing work environment.
    4. Proven ability to handle complex assignments using considerable judgment and initiative while following through on projects and commitments with speed and efficiency.
    5. Excellent interpersonal, written, and verbal communication skills.
    6. Excellent proficiency with MS Office Suite (with emphasis on Word, Excel, Outlook and Teams) and Adobe Acrobat.
