Position Overview

Responsible for providing contract administration and general administrative support to the department. Job duties:
  • Drive administration of the contract lifecycle and responsible for the intake and routing of contracts, and management of post-execution activities of contracts.
  • Assist with the management of negotiation activities, including generating various reports and managing the lifecycle of negotiations.
  • Assist with the implementation and management of organization and storage of all agreements in a contract management system.
  • Perform administrative duties including creating and preparing routing materials, proofreading, verifying, and editing material for accuracy and clarity, and keeping reference materials up to date.
  • Prepare letters, memos and other confidential correspondence and reports.
  • Provide litigation support (research, litigation binders, discovery, document management).
  • Assist with corporate governance, including maintaining and keeping up-to-date records for various entities.
  • Establish and maintain filing systems, work and file correspondence, records, and other documents.
  • Process and reconcile expense reports, check requests, invoices, and other financial documentation as directed.
  • Maintain spreadsheets and databases to record and track department information (e.g. training records, Ringi approval process, invoices, check requests, etc.).
  • Provide administrative support to Legal Affairs team on a day-to-day basis, schedule meetings, make travel arrangements, print/mail, and order supplies as requested.
  • Perform additional responsibilities as assigned.
    1. High school diploma.
    2. Two (2) to five (5) years of legal assistant, contract management, or professional administrative office experience.
    3. Ability to work independently, multi-task at a fast pace; ability to be flexible and adapt to a rapidly changing work environment.
    4. Proven ability to handle complex assignments using considerable judgment and initiative while following through on projects and commitments with speed and efficiency.
    5. Excellent interpersonal, written, and verbal communication skills.
    6. Proficiency with MS Office Suite (with emphasis on Word, Excel, and Outlook) and Adobe Acrobat.

    4. Acute attention to detail, excellent organizational skills, and willingness to learn.
    5. Familiarity with Contract Lifecycle Management systems (with emphasis on Parley Pro).
